This brings us to the discussion of shared responsibility and why it can\u2019t be ignored if you want complete data protection and backup.\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Because Microsoft 365 is so commonplace in business, it\u2019s easy to assume that so long as you stick we them, you have the basics covered.\u00a0That, unfortunately, is not correct when it comes to cloud backup and recovery. Here are two hard truths you need to take into consideration when you plan your SaaS data protection:<\/span>\n<ol>\n \t<li><span style=\"color: #000000;\">Your cloud service providers are not responsible for the safe keeping of your data.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">You are responsible for keeping your data and metadata safe.<\/span><\/li>\n<\/ol>\n&nbsp;\n\n<span style=\"color: #000000;\">In this blog post, you will learn:\u00a0<\/span>\n<ul>\n \t<li><span style=\"color: #000000;\">What shared responsibility means.\u00a0\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">What cloud services like Microsoft 365 currently offer to retrieve lost data.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">How to make sure your cloud data is actually secure.\u00a0<\/span><\/li>\n<\/ul>\n<\/section><section>\n<h4><span style=\"color: #000000;\"><b>What You Risk by Not Backing Up Your Cloud Data<\/b><\/span><\/h4>\n<span style=\"color: #000000;\">Let\u2019s start by looking at the exposure a company faces that does not participate in shared responsibility.\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Depending on the nature of one\u2019s business, several risk scenarios could arise if you rely solely on cloud service vendors for backup (and the vendors themselves recommend that you do not rely solely on their services):<\/span>\n\n&nbsp;\n<ul>\n \t<li><span style=\"color: #000000;\">You lose access to critical intellectual property documentation such as patents.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">You may no longer be in compliance by losing access to certain required information.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">The entire company loses access to emails and other collaboration tools such as\u00a0 SharePoint and other apps, thereby preventing employees from doing anything.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Critical systems such as Salesforce, which are based on multiple automations that have been painstakingly built up over time, will need to be rebuilt.\u00a0<\/span><\/li>\n<\/ul>\n&nbsp;\n\n<span style=\"color: #000000;\">When data loss happens to a large business it can result in thousands of unhappy employees and customers. For small to medium-sized businesses the consequences can be even more severe if they lack the IT resources and know-how to immediately address the problem.\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">The eventual outcomes range from customer inconvenience and disgruntled employees to severe legal problems and potential business catastrophe.\u00a0\u00a0In other words, your business continuity is at stake.<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\"><b>Common Data Loss Threats \u00a0<\/b><\/span><\/h4>\n<span style=\"color: #000000;\">Data loss threats don\u2019t always originate from outside the organization, <a style=\"color: #000000;\" href=\"https:\/\/www.keepit.com\/esg\/\" target=\"_blank\" rel=\"noopener\">as demonstrated by a study conducted by the Enterprise Strategy Group (ESG)<\/a> which showed that human error from within the organization is one of the single biggest contributors to data loss.\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">A breakdown of data loss causes is illustrated in the following graphic: <\/span>\n\n<span style=\"color: #000000;\"><img decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/images.prismic.io\/keepit\/90a2d991-2678-45da-a144-2826065014b6_common-data-loss-threats-in-businesses.png?auto=compress,format&amp;rect=0,0,1200,628&amp;w=1200&amp;h=628\" width=\"1200\" height=\"628\" \/><\/span>\n\n<span style=\"color: #000000;\">If you lose data for any of these reasons, cloud vendors like Microsoft will not provide data backup because they adhere to the \u201cshared responsibility\u201d model that states it\u2019s not their responsibility. More on that later.\u00a0<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\"><b>The \u201cBackup Features\u201d Currently Available in Microsoft 365\u00a0<\/b><\/span><\/h4>\n<span style=\"color: #000000;\">In essence, cloud service customers have three functionalities that many think serve as backup of their data.\u00a0\u00a0<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\">Litigation Hold\u00a0<\/span><\/h4>\n<span style=\"color: #000000;\">The purpose of litigation holds is to help if you are involved in a legal process and need to preserve information exactly as it is at a specific point in time. It is clearly not designed as a backup or recovery tool, because:\u00a0\u00a0<\/span>\n<ul>\n \t<li><span style=\"color: #000000;\">Retrieving just a single email requires going through 8-10 demanding steps.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Based on your licensing plan, your cost of storage may be significantly higher.\u00a0<\/span><\/li>\n<\/ul>\n<\/section><section>\n<h4><span style=\"color: #000000;\">Versioning\u00a0<\/span><\/h4>\n<span style=\"color: #000000;\">Microsoft automatically saves versions of your documents at regular intervals, so you can just go back and open a previous version, right?\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Technically yes, but:\u00a0\u00a0<\/span>\n<ul>\n \t<li><span style=\"color: #000000;\">You only get the random actual documents. What you don\u2019t get is structure\u2014nothing is where you left it, and there are no folders. How frequently depends on the application. For example:\u00a0\u00a0<\/span>\n\n&nbsp;\n<ul>\n \t<li><span style=\"color: #000000;\">In Exchange: mail items disappear after 30 days, and calendar items after 20 days.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">In Teams: channels, teams, and group items go away after 30 days.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">In OneDrive and SharePoint, they\u2019re removed every 93 days.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">In SharePoint backup, items disappear after 14 days.\u00a0\u00a0<\/span><\/li>\n<\/ul>\n&nbsp;\n\n<span style=\"color: #000000;\">As useful and convenient as they are for users, these features can lull employees into a false sense of security because if the worst happens, they are not reliable.\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Now that you know what\u2019s at stake, let\u2019s dive into the issue of shared responsibility.\u00a0<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\"><b>A Crash Course in Shared Responsibility<\/b><\/span><\/h4>\n<\/section><section>\n<h4><span style=\"color: #000000;\">What is Shared Responsibility?<\/span><\/h4>\n<span style=\"color: #000000;\">Although no official dictionary definition exists, in a nutshell, shared responsibility means you and each cloud vendor take shared ownership for accessing your data in the cloud.\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Don\u2019t be surprised to learn that Microsoft is not responsible for protecting your data. They are very clear on this issue. You can read <a style=\"color: #000000;\" href=\"https:\/\/docs.microsoft.com\/en-us\/azure\/security\/fundamentals\/shared-responsibility\" target=\"_blank\" rel=\"noopener\">a summary of their shared responsibility policy for Microsoft 365 in this short article<\/a>, and here\u2019s the bottom line (in Microsoft\u2019s own words):\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">&#8216;You own your data and identities. You are responsible for protecting the security of your data and identities, on-premises resources, and the cloud components you control (which varies by service type)&#8217;.<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Regardless of the type of deployment, the following responsibilities are always retained by you:\u00a0<\/span>\n<ul>\n \t<li><span style=\"color: #000000;\">Data\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Endpoints\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Account\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Access management\u00a0<\/span><\/li>\n<\/ul>\n&nbsp;\n\n<span style=\"color: #000000;\">As you can see in the table below, the division of responsibility between you and Microsoft, depends on your hosting. (For the purpose of this blog post, pay attention to the SaaS column.)\u00a0<\/span>\n\n<span style=\"color: #000000;\"><img decoding=\"async\" class=\"alignnone size-full\" src=\"https:\/\/images.prismic.io\/keepit\/f959688e-7727-4536-ae1f-dc0fba621cf7_what-is-shared-responsibility.png?auto=compress,format&amp;rect=0,0,1200,628&amp;w=1200&amp;h=628\" width=\"1200\" height=\"628\" \/>Source: <a style=\"color: #000000;\" href=\"https:\/\/docs.microsoft.com\/en-us\/azure\/security\/fundamentals\/shared-responsibility\" target=\"_blank\" rel=\"noopener\">Microsoft<\/a>\u00a0<\/span>\n\n<\/section><section>&nbsp;\n\n<span style=\"color: #000000;\">As you can see, Microsoft assumes some responsibility for its piece of the cloud service, but it\u2019s up to the customer to protect the critical data that represents the lifeblood of its business.\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Microsoft 365 does have some built-in features to retrieve deleted data such as versioning, litigation hold, and recycle bins, however, these also have limitations and are nowhere near viable alternatives to genuine backup.\u00a0<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\">Who Uses the Shared Responsibility Model?\u00a0<\/span><\/h4>\n<span style=\"color: #000000;\">Originally, AWS developed the concept, and today it\u2019s used more or less identically by all cloud services. The most effective way to safeguard your data is to use the 3-2-1 backup principle, which goes like this:\u00a0<\/span>\n\n<span style=\"color: #000000;\"><b>Store your data separately from your day-to-day operations.\u00a0<\/b>\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">You must keep one copy of your data off site. Years ago, offsite storage was mainly to protect against fire and theft. Today, it\u2019s more complicated than simply separating data geographically. And you can\u2019t fully rely on cloud access, which could be taken offline to protect the providers\u2019 own business interests.\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">If you want to learn more about what Microsoft recommends what to do if you experience a ransomware attack, you can find a <a style=\"color: #000000;\" href=\"https:\/\/docs.microsoft.com\/en-us\/microsoft-365\/security\/office-365-security\/recover-from-ransomware?view=o365-worldwide\" target=\"_blank\" rel=\"noopener\">good summary here<\/a>.\u00a0\u00a0\u00a0<\/span>\n\n&nbsp;\n\n<span style=\"color: #000000;\">Let\u2019s move on to some actionable advice on what you can do next to bridge the huge security gap left by shared responsibility.\u00a0<\/span>\n\n<\/section><section>\n<h4><span style=\"color: #000000;\"><b>How to Find a Backup Solution That Works\u00a0<\/b><\/span><\/h4>\n<span style=\"color: #000000;\">If you decide to heed the advice of Microsoft, Google, and the other cloud service providers, and find a reliable third-party backup solution, here are some important considerations:\u00a0<\/span>\n<ol>\n \t<li><span style=\"color: #000000;\">Find out who is actually responsible for data loss in applications such as OneDrive, Groups and Teams, SharePoint, and Exchange within your organization. Is there a dedicated person or team, or is the responsibility spread across the organization?\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Make sure backup copies are stored outside of Microsoft 365&#8217;s domain. Always have offsite, immutable, backup copies that are stored separately from your primary data. Never store in the same logical infrastructure as your primary data.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Look for comprehensive coverage for your SaaS data, in order to include as much data and metadata as possible in your backup.\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Look for fast and granular recovery so you can recover from a single item, all the way up to the tenant level to achieve precision recovery at scale.\u00a0\u00a0<\/span><\/li>\n \t<li><span style=\"color: #000000;\">Look for a third-party tool that is compliant and offers long-term retention and a variety of security controls.\u00a0<\/span><\/li>\n<\/ol>\n<\/section><section>\n<h4><span style=\"color: #000000;\">How to Find the Right Microsoft 365 Backup Vendor<\/span><\/h4>\n<span style=\"color: #000000;\">There are great solutions available, and like everything else, you need to find the one that best meets your needs.
